Grundon Waste Management Ltd, one of the UK’s leading waste management and recycling specialists, needed a more flexible and compliant way to manage time and attendance for its growing mobile workforce.
Operating from seven main depots and three airport sites across London, Birmingham, Gloucester, Swindon and the Thames Valley, Grundon’s 450 drivers, crew and recycling operatives work a wide
variety of shift patterns.
The company’s in-house, spreadsheet-based time and attendance system could no longer keep pace
with the demands of new contracts and the legal requirements of the 2007 Road Transport Working
Time Regulations. Manual data entry, paper absence records and slow payroll processes created
inefficiencies and risked compliance breaches.
Grundon turned to Crown Workforce Management after exploring options for a more scalable HR and time tracking system. When executives saw the capabilities of Crown Manager, they recognised it as a flexible, future-proof solution that could integrate directly with payroll and grow with the business.
Crown developed a custom interface between Crown Manager and Grundon’s payroll system to minimise manual input and reduce error risk. The system was first piloted at the Colnbrook depot near Slough, chosen for its complex range of shift patterns.

Following a successful six-week pilot, Grundon rolled out the system across all depots within a few months, supported by Crown’s consultants and in-house trainers.
The Crown Manager system has transformed how Grundon tracks time, manages absences and processes payroll.
Manual timesheets and data re-entry have been eliminated, saving hours of administrative work and reducing the risk of error. Managers now benefit from automated absence management with integrated Bradford Factor scoring, as well as reminders for probationary reviews and upcoming retirement milestones.
