The workforce management
challenge at Grundon

Grundon Waste Management Ltd, one of the UK’s leading waste management and recycling specialists, needed a more flexible and compliant way to manage time and attendance for its growing mobile workforce.

Operating from seven main depots and three airport sites across London, Birmingham, Gloucester, Swindon and the Thames Valley, Grundon’s 450 drivers, crew and recycling operatives work a wide
variety of shift patterns.

The company’s in-house, spreadsheet-based time and attendance system could no longer keep pace
with the demands of new contracts and the legal requirements of the 2007 Road Transport Working
Time Regulations. Manual data entry, paper absence records and slow payroll processes created
inefficiencies and risked compliance breaches.

The solution

Crown’s flexible, future-proof solution

Grundon turned to Crown Workforce Management after exploring options for a more scalable HR and time tracking system. When executives saw the capabilities of Crown Manager, they recognised it as a flexible, future-proof solution that could integrate directly with payroll and grow with the business.

Crown developed a custom interface between Crown Manager and Grundon’s payroll system to minimise manual input and reduce error risk. The system was first piloted at the Colnbrook depot near Slough, chosen for its complex range of shift patterns.

“The Crown system is really straightforward and lots of the feedback we’ve had from our managers is that they really like the user-friendliness of it.”
- Lorraine Millburn, HR Advisor

Following a successful six-week pilot, Grundon rolled out the system across all depots within a few months, supported by Crown’s consultants and in-house trainers.

The results

The results – Greater efficiency,
fewer errors

The Crown Manager system has transformed how Grundon tracks time, manages absences and processes payroll.

Manual timesheets and data re-entry have been eliminated, saving hours of administrative work and reducing the risk of error. Managers now benefit from automated absence management with integrated Bradford Factor scoring, as well as reminders for probationary reviews and upcoming retirement milestones.

“Crown Manager has taken away a lot of the manual intervention. Before everything was submitted on paper, then manually entered into a spreadsheet and again into payroll, so there was lots of potential for mistakes. The system has really streamlined that process.”
-HR Advisor Lorraine Millburn

Grundon has also achieved stronger workforce engagement through its in-house training programme, ensuring all users were confident and supported before going live.“Crown are really good to work with,” Millburn added. “Their helpdesk is indeed helpful and responds quickly to queries.”

The future with Crown

Grundon plans to extend the Crown system to include its remote quarrying operations, using GPRS-based terminals for on-site data capture. The company also intends to expand use of the system’s reporting and email functions and explore web-based employee access for checking absences and booking holidays.

As Crown’s Account Manager Paul Atkinson noted, “the manager at one of the sites told me that he doesn’t know how he would do his job without Crown Manager now.”
